How to merge PDF files and keep bookmarks and forms intact

A simple merge is easy. Keeping bookmarks, fillable fields and page order right takes a little more care. Here is what to watch for.

Combining PDFs is one of the most common document tasks: an application with a CV, a cover letter and certificates, or monthly statements gathered into one archive.

Get the order right first

Merge PDF joins files in the order shown in the list, which you can rearrange before merging. If you need to reorder individual pages afterwards, use Reorder Pages on the merged file.

Bookmarks

Long reports often have a bookmark outline. A careless merge drops these or points them to the wrong pages. PDF100 carries each file's bookmarks into the merged outline and shifts their page targets, so "Chapter 3" in the second file still opens chapter 3.

Fillable forms

When two forms use the same field name, such as "name", a naive merge links them, so typing in one fills both. PDF100 keeps every field and renames duplicates, so each copy stays independent.

Finishing touches

  • Add page numbers across the merged document so readers can cite pages.
  • Compress the result if it is going by email.
  • Protect it with a password if it contains personal data.
